Table 4. Planning Agenda Prior to the Conference

When What To Do (those marked with * require UAD Board's approval)
14 months *A. The UAD Board will select a conference chairperson to host the conference next year.
13 months *A. The Chairperson will select a date for the conference.
*B. The Chairperson will visit several conference sites and use Table 5 to gather important information. Based on this information, the Chairperson will recommend a site to host the conference and the conference date to the UAD Board to obtain their approval.
12 months A. The Chairperson will select ticket salespeople in each area such as Ogden, Orem, etc.
B. The Chairperson will select a printing liaison person.
*C. Booster tickets will be printed and given to each salesperson.
*D. The Chairperson will put a notice in the UAD Bulletin to inform people of the upcoming UAD conference, date, location, ticket salespeople, and a request to sign the boosters. This will be printed in the UAD Bulletin on a monthly basis.
9 months *A. The Chairperson will recommend several VIPs to the UAD Board as a possible banquet speaker. After the UAD Board approves a VIP, the UAD President should immediately write a letter of invitation to the VIP and obtain a commitment. This process should be repeated until a commitment is obtained.
8 months A. The Chairperson will remind the UAD President, Golden Hand Award committee, and other appropriate individuals/groups to begin their search for candidates to receive their awards at the UAD Banquet.
6 months A. The Chairperson will begin planning the specific details of the conference. See Table 2 for a suggested conference schedule.
B. The Chairperson will select a business ads liaison person.
C. The Chairperson will select a registration person.
D. The Chairperson will select several workshop presentators.
E. The Chairperson will select an entertainment person.
*F. Select a banquet menu at the conference site.
*G. Determine the prices of each event.
*H. Determine the ticket prices for each of the following categories:
     - senior citizen / singles / couples
     - early bird ticket purchase / at-the-door ticket purchase
     - combo
*I. The Chairperson will print the tickets and send them to the ticket salespeople.
*J. Prices should be decided for a full page, a half-page, and a one-fourth page business advertisement in the conference program book.
*K. The Chairperson will publish a notice/ad in the UAD Bulletin on a monthly basis with ticket prices, names of the ticket salespeople, and costs of business advertisements.
2 months *A. Select a photographer to take a group picture of the conference attendees.
1 month *A. Print the program book. (Do not mail to those who have already bought tickets. The program book will be available at the door.)
*B. Plan the UAD Complimentary breakfast at the conference site.
2 weeks A. Select 1 or more Door people, depending on the number of workshops/meetings.
B. Select 1 or more Time people, depending on the number of workshops/meetings.
